This policy explains how Femme5 Agency Pte Ltd (UEN 201700001Z, MOM Employment Agency Licence 19C9763) (“Femme5”, “we”, “us”) collects, uses, discloses and protects personal data under Singapore’s Personal Data Protection Act 2012 (“PDPA”). It applies to our website, www.femme5.com, and to the services we provide in person, by phone, email and WhatsApp.
1. Whose data this covers
- Employers and families who enquire about or use our helper, caregiver, confinement nanny or cleaning services.
- Helper candidates (migrant domestic workers) whom we interview, train, place or transfer.
- Website visitors, including anyone who sends us an enquiry.
2. What we collect
- Contact details: name, phone number, email, home address.
- Hiring details: household size, care needs, the type of helper you are looking for, and the information MOM requires for Work Permit applications, such as NRIC or FIN numbers, date of birth, income documents and residential address. We collect NRIC or FIN numbers only where the law requires it.
- Helper candidate details: biodata, photographs and videos, passport details, work history, references, skills assessments, medical examination results and next-of-kin contacts.
- Enquiry messages you send through our website form, email or WhatsApp.
- Website usage data: pages viewed, device and browser type and approximate location, collected by cookies and analytics tools (section 7).
3. How we use it
- To respond to enquiries and recommend suitable helpers or services.
- To match employers with helper candidates and arrange interviews.
- To prepare and submit Work Permit, insurance, security bond and related applications to MOM, insurers and banks.
- To schedule and deliver cleaning and care services.
- To provide after-placement support, replacements and dispute resolution.
- To meet our legal and regulatory duties as a licensed employment agency, including MOM record-keeping rules.
- To improve our website and services.
We will only send you marketing messages if you agree to receive them, and we comply with Singapore’s Do Not Call rules.
4. Who we share it with
We share personal data only as needed for the purposes above:
- Government agencies, mainly the Ministry of Manpower, and others where the law requires.
- Prospective employers, who see helper candidates’ biodata, photos and videos, and helper candidates, who receive the basic employer details needed to decide on a job offer.
- Overseas partner agencies in helpers’ home countries, to recruit, prepare and deploy helpers.
- Service providers who work on our behalf: insurers, banks for security bonds, medical clinics, training centres, IT and website hosting, and email providers. They must protect the data and use it only for our instructions.
We do not sell personal data.
5. Transfers outside Singapore
Some personal data is stored or processed outside Singapore:
- Our website, including enquiry form submissions, is hosted on servers in the United States.
- Our email is provided by Microsoft 365, which may store data in other countries.
- Helper candidate and employer details are shared with partner agencies in the helper’s home country.
When we transfer data overseas, we take steps under the PDPA to make sure it receives a standard of protection comparable to the PDPA, for example through contracts with the recipient.
6. How long we keep it
We keep personal data only as long as we need it for the purposes above or as the law requires. Employer and helper records are generally kept for 5 years after a placement or service ends, then securely deleted. Website enquiries that do not lead to a placement are deleted after 2 years.
7. Cookies and analytics
Our website uses Google Analytics to understand how visitors use the site. It sets cookies that collect information such as pages viewed and approximate location; it does not tell us who you are. Some pages also load content from third parties, such as Google Maps and image hosts, which may receive your IP address. You can block or delete cookies in your browser settings, and the website will still work.
8. How we protect it
We use administrative, physical and technical safeguards, including access controls, encrypted connections (HTTPS) and limiting access to staff who need it. No method of internet transmission or electronic storage is completely secure, but we review our safeguards regularly.
9. Your rights
You may ask us to:
- Access the personal data we hold about you and how it has been used or disclosed in the past year.
- Correct personal data that is wrong or incomplete.
- Withdraw consent to our use of your data. We will tell you the likely consequences first, for example that we may no longer be able to process a Work Permit application. Withdrawal does not affect uses the law permits without consent.
We aim to respond within 30 days. We may charge a reasonable fee for an access request and will tell you the amount before we proceed.
10. Data breaches
If a data breach is likely to cause you significant harm or affects 500 or more people, we will notify the Personal Data Protection Commission within 3 calendar days of assessing it, and notify affected individuals where required.
